Pay: $18.42 – $20.00 per hour
Health Bridge – Appointment Coordinator
Position Summary
The Appointment Coordinator plays a key role in managing patient appointments, ensuring accurate records in our EMR system. This role involves overseeing clinic schedules to identify patients eligible for a Preventative Dental Evaluation, scheduling appointments, providing end-of-day metrics, and communicating results to patients as needed.
Strong communication skills and attention to detail are essential, as the coordinator will work closely with in-office assistants and other team members in real time.
Responsibilities
Appointment Scheduling and Management
Schedule and confirm patient appointments in the clinic’s EMR
Review daily clinic schedules to identify patients eligible for Preventative Dental Evaluations according to Health Bridge guidelines
Coordinate with in-office assistants and medical teams to ensure smooth patient check-ins and timely appointment adjustments
Data Reporting and Metrics
Record and monitor daily appointment metrics across multiple schedules
Generate and report key daily metrics to support clinic tracking and planning
Provide end-of-day summaries and activity logs to management
Communication and Coordination
Serve as the primary point of contact for patient check-ins, cancellations, and reschedules
Liaise with in-office teams to address last-minute appointment needs and real-time changes
Communicate with clinical and dental teams regarding Preventative Dental Evaluation appointments and coordination needs
Provide patients with their results via phone call, including translation as needed
Administrative Support
Support doctor and assistant credentialing processes
Ensure all patient demographics and appointment details are accurately documented in the EMR
Maintain thorough records of patient interactions, appointment changes, and other relevant data
Assist with other administrative tasks to ensure efficient clinic operations
What We're Looking For
Minimum Requirements
Education: High school diploma or equivalent
Communication: Excellent verbal and written communication skills for interacting with patients, team members, and providers
Organization: Strong attention to detail, time management, and the ability to manage multiple schedules and priorities
Problem-Solving: Proactive in identifying scheduling issues and providing real-time solutions in a fast-paced environment
Technology: Microsoft Office Suites, Google Suites, etc.
Spanish: Fluency in Spanish is required
Bonus Points For
Technology: Familiarity with using EMR/ EHR software (Epic, Dentrix, Athena, etc.)
